Use this Excel to PDF tool when you need to send a spreadsheet to someone who should read it, not edit it. Upload an XLS, XLSX, ODS or CSV file and download a PDF version of your sheet that anyone can open on a phone or computer. It costs nothing, and you don't need an account.
Spreadsheets need a little more care than other documents. A Word page has a fixed width, while a sheet can stretch across dozens of columns, and a PDF page can only hold so many of them before it has to start a new page.
Set up the sheet in Excel first
The converter follows your spreadsheet's own page settings. If you've never touched them, Excel's defaults apply, and a wide sheet may split across several pages, with some columns landing on a page of their own.
A couple of minutes in Excel's Page Layout tab avoids most of that:
- Set a print area if you only want part of the sheet in the PDF. Select the cells, then choose Print Area and Set Print Area.
- Switch the orientation to landscape for wide tables. This alone often fits all the columns on one page.
- Use the scaling option (Fit to page width, or "Fit all columns on one page" in some versions) so Excel shrinks the sheet to fit.
- Check Print Preview. What you see there is a good guide to how the PDF will look.
Save the file after making these changes, and then upload it. If you share the workbook with colleagues, it's worth leaving these settings in place, because anyone who prints the sheet later gets the same tidy layout.
Converting a spreadsheet to PDF
- Tap "Select files", or drag your XLSX, XLS, ODS or CSV file onto the page if you're on a computer.
- Add other spreadsheets if you have more to convert.
- Run the conversion.
- Download the PDF. Several files come back as one ZIP.
Each upload can be up to 100 MB, which is far more than most spreadsheets need.
What about CSV files?
CSV files are plain data with no formatting and no page settings at all. You can still convert them, and you'll get the rows and columns laid out as a basic table. If the CSV has many columns, though, it's likely to spill over several pages. For a cleaner result, open the CSV in Excel or Google Sheets, adjust the column widths and page layout, save it as XLSX, and convert that.
Where a PDF spreadsheet helps
Accountants and bookkeepers send monthly reports, budgets and statements to clients as PDFs. The client sees the figures exactly as prepared and can't accidentally change a formula. If someone does need to work with the numbers, you can send the Excel file alongside the PDF and let them choose.
Small businesses keep price lists, stock sheets and invoices in Excel because it does the maths for them. Converting XLSX to PDF turns those into something you can email to a customer, attach to a quote or print for the shop counter.
Schools use spreadsheets for timetables, class lists and results. A PDF is easier to share with parents or post in a group chat, and it opens on any phone.
Students who build a data table for a project or lab report can convert it and attach it to their submission, or merge it with the written report using Merge PDF.
Limits worth knowing
- Wide sheets may split across pages. Page setup in Excel is the fix, as described above.
- The PDF is a snapshot. Formulas become plain values, and the numbers won't update later.
- If your workbook has several sheets, check the PDF to make sure the ones you need are there and in the right order. You can remove extra pages afterwards with Remove pages.
If you need page numbers on a long report, add them after converting with Page numbers.
Phone, tablet or computer
The tool runs in your browser on Windows, Mac, Linux, Chromebook, Android and iPhone. Nothing to download. On a phone it's useful when someone sends you a spreadsheet you want to forward as a PDF: save it to your files, open this page, tap "Select files" and convert.
Privacy
Spreadsheets often hold private figures like salaries or client accounts. Your files are processed on our server and deleted as soon as the PDF is sent back to you. Nothing is stored or shared, and no watermark or branding is added to the PDF.
Frequently asked questions
Is Excel to PDF conversion free?
Yes. There's no cost, no sign-up and no watermark on the result.
Why is my spreadsheet split across several pages?
The sheet is wider or longer than one page at its current settings. In Excel, set the orientation to landscape, use Fit to page width, or set a print area, then save and convert again.
Can I convert only part of a sheet?
Yes. Set a print area in Excel around the cells you want, save the file, and upload it. The PDF will follow that print area.
Does it work with Google Sheets?
Download your Google Sheet as an XLSX file (or CSV), then upload it here. XLSX keeps more of your formatting than CSV.
Will my formulas still work in the PDF?
No. A PDF shows the values as they were when you converted. Keep the original Excel file if you need to change the numbers later.
Can I convert a spreadsheet to PDF on my phone?
Yes. Open this page in your phone's browser on Android or iPhone, tap "Select files" and choose the spreadsheet. The PDF downloads to your phone when it's ready.
